What is AdaptFMS?

The Adapt Fuel Management System (AdaptFMS) is a complete fluid monitoring system for harsh environments. AdaptFMS is a completely integrated hardware and software solution which monitors and controls hydrocarbons on your site or network. AdaptFMS provides the data to monitor, control and manage your fuel and lubricants. It provides key insights for management decisions on this critical operating expense.

What does it do?

AdaptFMS is an enterprise level fuel management system that provides on-site hydrocarbon control and monitoring predominantly for the mining and rail sectors. By supplying robust field equipment with an innovative web based application and backed by enterprise database storage, AdaptFMS is a fuel management system that is flexible, handles remote and harsh mining and logistics environments, and provides all levels of users and suppliers with the site or network wide hydrocarbon data they need.

The AdaptFMS provides the enterprise with comprehensive fuel and oil management by monitoring and controlling deliveries, dispensing, transfers and storage from a central web application, AdaptIQ. The system utilises field measurement and control hardware to capture transaction and storage data which is pushed to AdaptIQ. Fuel and oils are only dispensed to authorised equipment items which are identified by a PIN or RFID tag. An additional layer of accountability can be added by requiring user authorisation at the dispensing or delivery point which is reported as part of the transaction record.

Because the software development is driven by both user feedback and technical innovation in the hardware, new features are under constant development ensuring the solution grows with your needs.

Why use it?

For many users of AdaptFMS fuel and lubricants are one of the highest, if not the highest, operating expense. Effectively managing and controlling fuel and lubricants is critical for efficient operations. Real world examples of where AdaptFMS has been used to reduce costs and improve operations include:

  • Controlling and measuring subcontractor access to fuel and lubricants
  • Reducing theft and misconduct
  • Automating record keeping and stock management - replacing paper based systems
  • Improving cost allocation and control
  • Eliminating stockout events at fuel and lubricant facilities especially for remote locations
  • Reducing stock levels though better inventory management including vendor managed inventory
  • Validating business improvement projects using data collected by AdaptFMS
  • Scheduling maintenance based on automatically captured engine hours
  • Monitoring lubricant top ups between maintenance

Key Features

  • Web Based Application – no requirement to add software to users desktop PC’s
  • Multiple User Functionality – unlimited users, no additional licensing required. Lowers total cost of ownership
  • Granular User Permissions - easily customisable user privileges based on group membership
  • Built on enterprise RDBMS - including the latest versions of MS SQL Server and MySQL. Able to be hosted on corporate network or FluidIntel Hosted on secure cloud servers
  • Delivery, Dispensing and Stock Level Monitoring - built into a single enterprise level software package
  • Simultaneous Access - the ability to monitor multiple sites simultaneously
  • Automatic Push - all transaction data pushed to server – no need to manually “poll” sites to receive data
  • Network - hardware and software work over any standard TCP/IP network
  • System - works in corporate firewalled and VLAN environments
  • Remote Access Support – most server and field hardware support requirements can be managed remotely
  • Alarms for business rule exceptions
  • Data feeds to 3rd party applications. E.G Enterprise Resource Planning (ERP) systems such as SAP and Ellipse
  • Data feeds from 3rd party applications. E.G Sure Site (Cardax/Gallagher), Citec and E&H Host Link
  • Newer versions of Explorer (8+) and all standards compliant browsers supported

AdaptFMS is built around the following principles:

  • Centralised application providing complete integration with all field hardware
  • Easy access to site wide Stock on Hand information
  • Accurate and accessible transactional data for all products dispensed
  • Stock security and Environmental Control, only authorised users and/or equipment can dispense product. Both equipment and personnel can be identified by manual PIN or automatically via RFID with many popular security standards currently supported
  • Live field data (tank levels, in service equipment) can be viewed by anyone with a web browser
  • Automatic engine hour capture at time of refuelling as an option
  • Corporate and field user access is via web browser. No custom application required for user access
  • Granular application security allows for tight control of AdaptIQ. For example, read-only access to individual tank farms may be granted to vendors for vendor managed inventory
  • Customisable - automatic and scheduled Data Exchange with SAP, Ellipse, Suresite and SCADA systems
  • All lists of data presented may be exported as CSV (Excel) files

How does AdaptIQ fit into AdaptFMS?

AdaptFMS uses field measurement and control hardware to capture transaction and storage data which is then pushed to the AdaptIQ web application.

AdaptIQ allows you to monitor, via a web browser and in real time, tank storage levels, delivery, transfer and dispense transaction records, alarms and errors. Reports can be created ad hoc or using pre-defined templates. Data can be exported to 3rd party systems or exported to Microsoft Excel (CSV) for further analysis. Limited access can be granted to suppliers such as fuel vendors to assist in inventory management.

AdaptIQ brings all the components of AdaptFMS together by:

  • Gathering delivery and dispensing data from field instrumentation, manual entry in the web application and docketed receipts, transfers and dispenses from AdaptMACs
  • Recording tank to tank transfers including service and lube trucks
  • Gathering dispensing data from 3rd party SCADA systems to monitor fuel usage by plant equipment
  • Polling meters in constant filled pipes to monitor fuel usage by plant equipment
